Version 4.6 Build 03.06 Summary:
7 New, 11 Fixes, and 3 Miscellaneous features
New Features
  1. Added support for Outlook 2010 changes to Exchange Public Folders. [Service Release: 3.06]

  2. You can now send an email from the Edit Contact window. [Service Release: 3.06]

  3. Added new user preference on the Misc tab under the Tools->My Preferences menu called "Warn if document is UNSAVED when printing/emailing." [Service Release: 3.06]

  4. After uploading a quote to QuoteValet, the Print window now closes based on the Tools|My Preferences setting of "Auto-close Print window after previewing or printing". [Service Release: 3.03]

  5. When deleting a document from QuoteValet, if the delete fails (maybe because the document is from a different or old account), you now have the option to remove the QuoteValet links from the QuoteWerks document. [Service Release: 3.03]

  6. The Base Currency (from Windows Regional Settings) is now displayed under the Regional tab under the Tools->Options menu. [Service Release: 3.03]

  7. Under the File->New menu, the last tab you selected - Either Blank or Template will be remembered.

Misc Features
  1. Added Debug Command for displaying Etilize query result details. [Service Release: 3.06]

  2. When updating to Build 3.03 from a build earlier than Build 2, if Canadian taxes are enabled, the country is now auto selected for you rather than requiring the user to select it. [Service Release: 3.03]

  3. When updating to Build 3.03 from a build earlier than Build 2, rather than auto setting the new base currency setting from the regional windows settings, you are now prompted to confirm the base currency that you quote in. [Service Release: 3.03]

Fixes
  1. If using cost modifiers or price modifiers that contained a decimal it would cause issues when uploading to QuoteValet. [Service Release: 3.06]

  2. For Etilize users, sometimes Etilize returns more than one part number for an item for each distributor. Sometimes one of the part numbers is discontinued and the other is valid. We now use the first part number in the list. [Service Release: 3.06]

  3. On the MS CRM Create/Update Opportunity window when a Message Bar message was displayed, the lower portion of the window would be cutoff. [Service Release: 3.06]

  4. PDF files generated by QuoteWerks were being saved in a PDF/A archive format. This was causing issues when attempting to view the PDF file in some viewers. [Service Release: 3.06]

  5. On the QuoteValet Setup window, the "Quote Recall" type template was being listed as an "Unknown" template. [Service Release: 3.03]

  6. Typically the name of a document's dtf file is the {DocNo}.dtf. If the DTF file name had been changed, issues would occur When running the Utilities->Merge Remote Documents. The DocNo is now retrieved from inside the DTF file contents rather than rely on the DTF file name. [Service Release: 3.03]

  7. When uploading a quote to QuoteValet, if the upload of the PDF file failed, the QuoteValet document would not be associated with the quote.

  8. For users with the SQL backend, if using the Open Export module to export xml or QuoteValet to re-upload an existing quote would receive "invalid use of null" error.

  9. For users with the SQL backend, during the build update would receive error "'NoPSTOnShipping' is not a constraint.

  10. In the QuoteValet Dashboard, quotes with no expiration date would be displayed as "[exp December 30, 1899]"

  11. Cleaned up empty dates in database ( ConvertedOn, ApprovedOn1, ApprovedOn2, ApprovalRequestedOn, PeerReviewRequestedOn)

Version 4.6 Build 2 Summary:
21 New, 14 Fixes, and 1 Miscellaneous features

New Features
  1. QuoteValet v1.1 now supported! See specific details further below.

  2. Shipping Tax Code. The tax code of the Shipping amount is now stored per each document rather than per a global installation setting of the "Shipping is taxable" checkbox on the Installation tab of the Tools->Options menu. You can specify the tax code for the shipping amount on the Shipping Amount window by clicking on the [...] button next to the Shipping amount on the Document Items tab. The default tax code for the shipping amount can be set on the Documents tab of the Tools->Options menu.

  3. For Canadian users, the "Do not charge PST on Shipping" checkbox on the Sale Info tab of the Quote WorkBook has now been replaced with the new Shipping Tax Code.

  4. The shipping calculation method (Manual, Adding up, based on rate) is now being stored with the quote. and you can set the default method on the Defaults tab of the Tools->Options menu.

  5. The TaxSystem (USA or Canada) is now stored with each quote also. The UK and Australian tax system is very similar to the USA system, so in QuoteWerks they use the USA tax system.

  6. There is now a [Merge Macros and Preview] button on the toolbar when editing your html email signature. Often your email signature will contain macro fields. With this new feature you can easily see an in-editor preview of what the macro fields will be merged to so you can see what the final output would look like.

  7. The HTML email editor [View HTML Source] button on the editor toolbar now displays the HTML code behind your email with syntax highlighting.

  8. On the Sale Info tab you can specify an expiration date for the quote. This is particularly useful for QuoteValet users. If your customer views the quote on QuoteValet after it has expired, they will see a message stating that the quote has expired and there will be a link for them to click to request an updated quote from you. Your customer will still be able to view the quote, but will not be able to accept a quote that has expired.

  9. New support with Subtotals and % Charge/Discount lines. Now, if a % Discount or % Charge line item is the only line item between two Subtotals, the second subtotal will now be calculated as the first subtotal - the % Discount. Typically SubTotals simply sum up the line item prices since the previous subtotal.

  10. Added new cover page macros &DH_AlternateGrandTotal, &DH_AlternateSubTotal, &DH_AlternateTotalTax, &DH_AlternateLocalTax, &DH_&AlternateCurrencyIdentifier, &DH_&AlternateCurrencySymbol

  11. If a quote has already been uploaded to QuoteValet for customer review, if you attempt to upload the quote for peer review, you will now be warned that the peer review copy will overwrite the customer review copy. I normal cases, peer reviews are performed before releasing the quote to the customer.

  12. For QuoteValet users, you can now choose which QuoteValet Customer Facing Template you want to use for each quote. Sometimes you might want to upload a quote to QuoteValet that just has the PDF of the quote and then acceptance section - with no line item details. Other times depending upon the quote you may just want to upload the quote to QuoteValet that just shows the line items on the quote and no PDF file. And sometimes you may want to include both the line items and the PDF file attachment. Now you can do this.

  13. For QuoteValet users, the QuoteValet dashboard can do a lot more reporting. You can filter by date range and by user. You can also filter your dashboard data to see focused, actionable information such as quotes expiring in next week, any QuoteValet activity today, any quotes not viewed yet, all the quotes viewed by customers last week, all quotes accepted this month, etc.

  14. For QuoteValet users, Sales tax and shipping is now displayed in the QuoteValet quote. As options are selected and unselected, the shipping and sales tax for these changes are calculated in real-time on QuoteValet. The quotes tax system (USA or Canada) is automatically detected and taxes are calculated accordingly.

  15. For QuoteValet users, you can now recall a quote. When a quote is recalled, your customer will not be able to view the quote. Instead, they will be redirected to a template that says, for example, "Sorry, this document has been recalled on 12/15/2010 at 9:45am by John Lewe." Optionally you can set a reason for the recall that your customer will see. Often you will leave it blank, but typically you would enter something like "Sorry, I forgot to include monthly maintenance, I'll have an updated quote to you today by 4:00pm". Of course, if you can quickly address whatever you forgot to do in the quote you can just re-upload the quote to QuoteValet. The recall feature is mostly used when you know that you cannot quickly make the change that is needed. Additionally since QuoteValet enables you to publish your quote to the cloud (for a specific customer), it is important to know that you can rescind that publishing while at the same time letting the customer know that you purposely have recalled the quote rather than it just disappearing.

  16. For QuoteValet users, in the QuoteValet Dashboard you can now delete a quote from QuoteValet. Typically you will not need to or want to do this except for when you have been creating test quotes and uploading them to QuoteValet. Once a quote has been accepted by a customer through QuoteValet you are not able to delete that quote and the electronic signature acceptance documentation unless you have master rights in QuoteWerks.

  17. For QuoteValet users, QuoteValet quotes can be "Accepted by Proxy". While the most ideal situation is for you to upload your quote to QuoteValet and then have the customer click on "I Accept" through the QuoteValet page, sometimes the customer simply calls in to ask some clarifying questions or to accept the quote and provide their payment information at the same time. For just this situation, QuoteValet now has an "Accept by Proxy" feature. It works seamlessly within QuoteWerks. When you convert a quote to an order, the QuoteValet counterpart is flagged as Accepted. This is particularly important for reporting.

  18. For QuoteValet users, there is a now a new quote acceptance page, so after your customer accepts the quote they will be redirected to a simpler smaller page that just contains their acceptance confirmation.

  19. For QuoteValet users, When quotes are "Converted as Lost", the QuoteValet quote that you uploaded to QuoteValet will now also be converted as lost. This is particularly important for reporting.

  20. For QuoteValet users, you can now upload quotes to QuoteValet that contain optional items within optional groups. Combined with QuoteValet's ability to let the customer pick and choose various options this really takes the groups and options functionality to a much more effective level.

  21. The DataLink now supports the fields ContractStartDate and ContractEndDate.

Misc Features
  1. For QuickBooks users, when orders are exported to QuickBooks that contain a rare but particular combination of subtotal/Percent Discount/Product, or subtotal/Percent Charge/Product a warning will now be displayed that this combination is not supported.

Fixes
  1. When retrieving Etilize pictures in some cases firewall software interferes with the downloading of the picture causing QuoteWerks to terminate unexpectedly.

  2. When using real-time module features and then logging in as another user through the File->Login as another User menu would receive error "User found in LoggedInRTUsers array after not being found" when the real-time features were used during that session of QuoteWerks.

  3. When creating a new Order from the beginning, rather than converting a quote to an order, the approval requirement was still in effect, but the administrator was not able to Approve the Order.

  4. If your CRM was not GoldMine, MS CRM or ACT for Web, you would not be able to select an email address from the new 'QuoteWerks Users" option on the Select E-mail Recipients window.

  5. The spell checker was not working while composing a plain text email.

  6. In the HTML client, the Plain text message and HTML source text box now only have vertical scrollbars.

  7. When upgrading from QuoteWerks 3.0 directly to 4.6 build 1 would receive errors: "The field name City was not found in ReMapAndGetFieldData. Also the fields "ExclusiveOptionGroup", "STATE", and "POSTALCODE".

  8. For Word Merging, if the word document contained macros to place specific item types in different tables and the first item type was blank, the line items containing this blank Item Type would not be printed and the macros would remain unmerged.

  9. For Word Merging, issues if the word document contained autoshapes or multiple section breaks.

  10. Intermittent issues with function and control keys in the html email signature and email body text box. F2, F7, DEL, CTRL-C, CTRL-A, CTRL-V key presses would not be detected.

  11. When opening an ORDER type document that was uploaded to QuoteValet, the status message of "QuoteValet - Checking for updates..." would be displayed and would not go away.

  12. When previewing a management report, you would not be able to print or email the previewed report if approval was required for the currently open quote.

  13. When selecting the Tools->Options menu would receive message "The QuoteWerks Database Time Zone setting GMT-05:00 was not found in the Windows Time Zone list! Please re-select.". This would happen in a network environment when workstations running different versions of Windows (Windows 7 vs all other versions) were accessing the same QuoteWerks installation.

  14. When doing a Merge Remote Documents, if the error "The document number specified in the dtf file is already in use!" was encountered several hundred times, would receive error 67 too many files.

Version 4.6 Build 1 (released December 15, 2010)

  1. QuickBooks 2011 is now supported!

  2. Outlook 2010 is now supported!

  3. Approvals. Have you ever had a sales rep email a quote to a customer that you wished you had reviewed before the customer received it? You now have that power within QuoteWerks! With the new Approval Requirements feature you can require that your sales reps obtain approval from you before a quote can be printed, emailed, or uploaded to QuoteValet. You can activate the Approval requirement per sales rep, and define under which conditions the approval is required and by who the approval needs to be obtained from. An Approval requirement can be triggered on a document or line item level. For example, if any single item's margin is less than 5%, then this quote requires an approval, or if the margin on the entire quote is less than 15%, then this quote requires an approval. When an approval is required, you can specify who is authorized to approve the quote. For example, if the quote amount is greater than 10,000 it requires the single approval from the sales reps manager. If the quote amount is greater than 50,000 then it requires a single approval from an escalated approver such as the CEO. If the quote amount is greater than 100,000 then it requires multiple approvals from escalated approvers such as the CEO and CFO. There are many different scenarios that can be accounted for. The Approval Requirements are setup Under the Utilities->User Maintenance menu. Select a user and click on the [Edit] button. From there, click on the Documents tab, and then click on the [Document Approval Settings] button. From there you can specify the approval requirements. When an approval is required, the user can request it by selecting the [Request Approval] button on the File|Print window. When used with the optional QuoteValet subscription, the approval features are greatly extended.

  4. Peer Reviews. Ever wanted to share a quote with your colleagues to get some feedback? With the QuoteWerks Peer Review features, this just got easier. From the File|Print window, click on the [Submit for Peer Review] button. This will send an email to your colleagues asking for feedback. When they receive the email, using the new "quotewerks protocol handler" feature, they can simply click on a hyperlink in the email and your quote will open up in their local installation of QuoteWerks.

  5. Microsoft Word merging. As an alternative to the built-in QuoteWerks report writer, you can now create Microsoft word based quotes and proposals from within QuoteWerks. Everyone knows how to use Microsoft Word. Word is more flexible than report designers and it is easy to design a Word based Quote layout since you already know how to use Word. QuoteWerks simply drops the data into your Word document wherever you want it. After merging, it is easy to make changes or tweaks to the Word document. Best of both worlds ? macro replacement and the ability to edit afterwards. To top it all off, QuoteWerks then automatically saves your data merged Word document as a PDF file and links it into the quote. The new Microsoft Word merging feature seamlessly integrates into the File|Print window. On the Layouts tab, you simply choose a Word Document Template rather than the built-in report designer layout. Sit back and watch QuoteWerks update your Word Document. Microsoft Word Document merging is also integrated into Links tab of the Quote WorkBook as a right click menu for "Merge Word document". You can select multiple Word documents (*.doc;*.docx) at the same time to merge.

  6. Unified Print, Share, Publish Deliver window. The Print window has been re-designed to support the new Microsoft Word merging, QuoteValet, Save as PDF, Peer Review, and Approval features. On the surface it may look familiar, but underneath it behaves very differently. Now, on the Layout tab, you can choose . This is useful if you just want to print a cover page or some literature, etc without printing a quote layout. Another difference on this tab is that you can now choose a Word document template from this tab. The word documents stored in the \Layouts\Quotes folder will appear in this tab. From this window, you have always been able to choose a layout, a cover page, multiple literature files, multiple spec sheets, and multiple files from the links tab. You can still do this, but now the layout is seamlessly either the built-in layout or an external word document template. When you select an .rtf cover page in addition, QuoteWerks automatically behind the scenes merges the macros in the RTF file, converts the RTF file to a PDF file, and then merges that PDF file with the PDF file output from the Word merge. The same happens for all the files on the Literature, Spec Sheet, and Links tabs. On the Links tab there is even more functionality. If you selected a Word document on the Links tab, then QuoteWerks will merge that Word document, convert it to a PDF file and then merge it with the other PDF output into one final PDF output.

  7. The QuoteWerks built-in E-mail client now supports HTML E-mail. You can do text formatting? Fonts, Bold, Color, etc. You can embed URLs, email address, etc in the message body. You can include images (Linked or Embedded). QuoteWerks Macro fields can be merged into the email, including Merging Hyperlink URLs. Additionally, the E-mail window has been updated with a new interface including a resizable window. The new HTML email client works with both the built-in QuoteWerks SMTP email and the QuoteWerks automation of Outlook.

  8. QuoteValet integration. QuoteValet is the online quote delivery and acceptance vehicle for QuoteWerks. QuoteValet is a more robust way to deliver quotes to your customers and prospects. Rather than attaching a PDF file to the quote and emailing it to your customer, QuoteValet will create a personalized web page to present the quote on quotevalet.com. The advantage of using QuoteValet is that you will actually know when your customer has received the quote. You will know when they have viewed the quote and how often they review the quote. Your customer will be able to change quote options dynamically and ask you questions through the customized quote page (keeping all communication together). Most importantly, they will be able to electronically accept and sign the quote! QuoteValet setup in QuoteWerks is on the QuoteValet tab of the Tools|Options menu. QuoteValet is accessed though the File|Print window, and also through the QuoteValet toolbar button.

  9. Quote Preparer feature. Now you can specify which users can create/prepare quotes on your behalf. These preparers can be specified on the Documents tab under the Utilities|User Maintenance menu.

  10. Added Misc Access right "CannotManuallyModifySalesRep". When this is set, the Sales Rep field cannot be changed by any user except users with Master rights.

  11. Added a new IsSelected variation of the Line Item Optional Attribute. With this, you can flag an item as being option, but as the SELECTED option. A SELECTED option will be included in the quote total. This is particularly useful with the QuoteValet integration, as you can present one or more options to your customer and you can pre-select the option that you recommend. In the site.ini file under the "System" section, there is also an INI key "OptionalSelectedItemText" which defaults to " (Optional - SELECTED)". This can be modified similar to the "OptionalItemText" INI key.

  12. The Line Item Optional Attribute is now supported for Group Header lines, effectively making the group as a whole (including all the line items in the group) optional. This is particularly useful with the QuoteValet integration.

  13. Line Items flagged as Optional can now also be flagged as mutually exclusive items. When the optional item is part of an Exclusive Group, the selection of one item will unselect the other options that are part of that exclusive option group. This is particularly useful with the QuoteValet integration.

  14. On the Links tab of the Quote WorkBook, there is now a right click menu for "Remove Link".

  15. You can now easily convert a Microsoft Word Document (*.doc;*.docx) into a PDF file from the Links tab of the Quote WorkBook. Simply right click on the Word document, and choose "Save as PDF". You can select multiple Word documents at the same time.

  16. On the print window, you can now choose any of the files from the tabs and e-mail them directly from this window.

  17. There is now a File|Login as another User menu. Very useful for administrators that need to log in as different users for setup and testing.

  18. On the E-mail address selection window there is now a right click menu option for "Add to TO", "Add to CC", "Add to BCC". Double clicking chooses the currently selected email address and closes the e-mail selection window.

  19. On the E-mail address selection window you can select e-mail addresses from QuoteWerks users or QuoteWerks groups.

  20. On the Document Items tab of the Quote WorkBook, double-clicking on the line item record selector now displays the Line Attributes window.

  21. Added Misc Access right "CannotUseQuoteValetLicense". This will prevent a user from being able to upload documents to QuoteValet. It will also prevent them from using the Peer Review and Approval features of QuoteValet.

  22. Added CustomText21, CustomText22, CustomText23, and CustomText24 to the Custom tab of the Quote WorkBook.

  23. Added CustomText15, CustomText16, CustomText17, CustomText18, CustomText19, CustomText20 fields on the Document Items tab.

  24. When changes have been made to the quote, a Save icon appears in the status bar (lower right) indicating that it needs to be saved.

  25. When a document template is open, the indicator "TEMPLATE" will appear in the status bar (lower right).

  26. Under the Utilities|Change Registration Information menu, there is now a new Licensee Website field. This is now used when integrating with QuoteValet. This website URL is displayed in the QuoteValet Company Letterhead banner. Also on the registration information window, the country is no longer required, and discrete City, State, and PostalCode fields have been added.

  27. On the Print window, under the Spec sheet tab, if specified spec sheet files are missing, these missing files will be detected and "Missing" (in red) will prefix the file name in the display. Also, there is now a tool tip for each spec sheet item so you can see the full path to where the spec sheet file is located.

  28. Emails are sent in larger packet chunks. For some slower SMTP servers this will yield, emails will be sent faster.

  29. Added new macros &APP_&LoggedInUserFullNameOrUserName, &DH_&SalesRepFullNameOrUserName, &APP_&LicenseeInlineAddress, &DH_&SalesRepInlineAddress, &APP_&LoggedInUserInlineAddress, &APP_&LoggedInUserPhoneWithExt, &DH_&SalesRepMobilePhone, &APP_LoggedInUserMobilePhone.

  30. Added new macro &SYS_NowA which formats the date/time, for example, as "October 9, 2010 2:34 pm". Also added macro &SYS_NowB which formats the date/time, for example, as "Saturday, Oct 9, 2010 2:34 pm".

  31. Added new QuoteWerks API method Application.BringToFocus

  32. Added new QuoteWerks API method Application.RestoreIfMinimized

  35. ConnectWise 2010.4 is now supported!

  36. When customizing quote columns under the View->Customize Columns menu, you can now double click on the column entry to rename the column.

Version 4.5 Build 9 (released July 29, 2010)

  37. ConnectWise 2010.3 is now supported!

  39. You can now synchronize master and remote installations that are not running the exact same build number as long as they are compatible builds.

  40. In the QuoteWerks installer, you can now browse for UNC paths and in network neighborhood. Also, you no longer have to double click on a folder to select it.

  41. For ConnectWise users, when creating product definitions in ConnectWise, there is now a mapping for the ConnectWise Product Class.

  42. When sending sales opportunity information over to ConnectWise, ACT!, ACT! For Web, Outlook, MSCRM, and SugarCRM, when grouped bundles are configured to be created in the CRM as a single roll-up line (as opposed to individual line items) now if 50% or more of the items that compose the grouped bundle are taxable than the single roll-up will be also created as taxable in the CRM.

Version 4.5 Build 7 (released June 23, 2010)

  43. GoldMine 9.0 is now supported!

  44. Maximizer 11.0 is now supported!

  45. Peachtree 2011 is now supported!

  46. New PDF assembly feature. There is now a [PDF] button on the Print window. This enables you to select the various print options on the Print window, like the layout file, Literature, Spec Sheets, File Links, etc, and then create a single PDF file containing only those selections. When creating the PDF file, the new Save File dialog is displayed giving you the option to automatically link this new PDF file to the Links tab of the Quote WorkBook. You can assemble combinations of literature and specs sheets into single PDF files. You could create a PDF file that just contained the basic line item details for an order that you can give to your technicians that will be fulfilling the order, rather than them having to look through an entire proposal. Especially when using the 'Generate Multiple Purchase Orders' feature, a PDF file of each purchase order can be created and automatically linked into the Links tab of the Quote WorkBook. After the PDF file has been created, the new Display Saved File dialog presents you with options such as [Open containing folder], [Copy name], and [View file]. [Copy name] is particularly useful for then pasting the file path and name into an email or other document. The [Open containing folder] is useful for quickly navigating to the folder that the file is saved in for purposes of seeing what other files are in that folder, or maybe so that you can then move the file or rename it.

See a screenshot of this feature

  47. For ConnectWise users, you can now attach files to the Documents tab of the ConnectWise Opportunity through the Create/Update ConnectWise Opportunity window. You can either select a file using a file selection dialog, or choose a file that is already linked to the quote under the Links tab on the Quote WorkBook. This is really useful for attaching a PDF version of the quote to the ConnectWise Opportunity. Having a PDF version of the quote is an advantage because anyone can then view the quote - they do not have to have QuoteWerks installed on their machine to view the quote. You can attach multiple PDF files to the opportunity, so you can easily attach the customer proposal, and a no frills plain vanilla version for the service technicians to follow, and basically anything else you could want.

  48. For ConnectWise users, the TaxRate and Terms fields can now be automatically retrieved from the ConnectWise company and pulled into the quote using the DataLink feature. To activate this, need to setup them as DataLink fields. Under the Contacts->Setup Contact Manager, choose ConnectWise and then click on the [DataLink Setup] button. Click on the [New] button to create a new DataLink mapping. Choose "Company->TaxRate" as the Contact Manager field and "LocalTaxRate" as the QuoteWerks field. For the Terms field, click on the [New] button and choose "Company->Terms" as the Contact Manager field and "Terms" as the QuoteWerks field.

  49. For ConnectWise users, the ConnectWise Opportunity Location and Business Unit can now be set through the Create/Update Opportunity window in QuoteWerks.

  50. For ConnectWise users, ConnectWise user defined fields are now supported by our DataLink. The User Defined Fields from the Profile tab of the ConnectWise Company record and the User Defined Fields from the Other tab of the ConnectWise Contact record can now be pulled into the quote automatically when the contact is inserted into the quote.

  51. For ConnectWise users, if a quote is converted to an order and only this quote is linked to the ConnectWise Opportunity, the ConnectWise Opportunity will be closed as Won (in addition to the quote's forecast line being closed as Won).

  52. For ConnectWise users, when QuoteWerks creates a product definition in ConnectWise, the manufacturer field will now be set as long as the Manufacturer exists in the hard coded list of manufacturers in ConnectWise. If the manufacturer for the item does not exist in ConnectWise the manufacturer will be set to a blank value. If you would prefer to have the manufacturer set to "Other", you can set the ini key ManufacturerNotFoundSetToOther=-1 under the [ConnectWise] section of the site.ini file.

  53. Outlook 2010 now supported for suppression of Outlook Security Prompt of "A program is trying to automatically send e-mail on your behalf. Do you want to allow this?"

  54. On the QuoteWerks Edit Contact window, there is now a ContextRef field below the Contact field. This can be used to make a contextual note about this person that is always displayed right by the contact name (rather than buried in the Notes tab). You can use this to store all sorts of useful information like "he is our new property manager", "met him at EHExpo", "met him golfing with John", "met at 2009 superbowl party". You can also put things like "is a guy" or "is a girl" for help with unisex names. And of course you can use it to indicate how to pronounce someone's name, like for "Lewe" you could say "pronounced Loo".

  55. On the QuoteWerks Edit Contact window, on the Notes tab, the Notes tab is now divided into two sections - TopNotes and Notes. Typically as you add new notes to the Notes field, the older notes get pushed further and further down. Often, important information then becomes buried in the middle of lots of notes. The TopNotes will always stay on the top. This is especially useful for recording things like warnings, notices, and instructions that you always want to see. It can be things like user id's, account numbers, instructions on how to navigate through their phone system like prompt [5] then [7], then [2]. You can also store information like "Always get signature for delivery. Always use their FedEx# 1234-5678-9. Typically we speak with John or Brian when accepting orders. If the customer asks for pricing, only Mike knows the special pricing they negotiated."

  56. On the Views tab of the Tools|My Preferences menu there is now a "Default Edit Contact tab" option. This will set which tab is displayed by default when viewing a QuoteWerks contact record.

  57. On the Notes tab of the QuoteWerks Edit Contact window, you can press CTRL-I to insert a note. This will switch to the Notes tab and insert the logged in user name, date, and time at the beginning of the notes field. It will insert, for example, "*** (John Lewe) *** May 10, 2010 at 9:45 am".

  58. The Built-in SMTP email encoding can now be modified. On the Misc sub tab of the Internet tab, under the Tools->My Preferences menu, there is now a "Use 8 bit encoding" option. There is also a "Encode E-mail using character set" setting. For example, to support the German Umlaut characters, you would check the "8 bit" option and type in the character set of "iso-8859-15".

  59. Grouped Configuration Items and Grouped Bundle Items now support a "Don't include in Group" option. This option gives you the capability to do two different things. First, through the Configurator, the last items you choose can be formula based line items that are added below the group as regular line items not actually in the group. The benefit here is that you can add for example a formula based line item that is 20% of the group header amount. Alternatively, at the end of the Configuration you can create one or more selection containers and populate it with items that will not be included in the group, but rather after the group. The real benefit here is that you can build a configuration that is grouped and then easily choose from a specific list of other products to add after the group. Without this you would have to go search the entire product database manually looking for other items to add. With this feature, you can just choose from the items previously setup in the selection container.

  60. In the Quick Lookup Bar, if you press enter in the part number field without specifying a part number, the Product Lookup window will be opened to the product database selected in the Quick Lookup Bar.

  61. Product/Service items that are setup with the Formula based pricing method now supports negative numbers, so you can calculate the pricing as "-20%" or "20%"

  62. Added Select All and De-Select All buttons to the Links tab of the File|Print window.

  63. Added new "Remove all print selections" button on the File|Print window. This de-selects all Cover Page, Literature, Spec Sheets, and File Links selections on this window.

  64. If a Report Layout .fpc file is copied into the Print Layout's LAYOUTS folder, you will be prompted to convert the Report Layout .fpc file to a Print Layout .fpc file. Different macros and fields are supported in Report Layouts vs Print Layouts which will need to be accounted for, but the benefit is that you can leverage any formatting that you have created in the Report Layout.

  65. Pressing the F12 key launches the Remote Assistance support page used to begin a remote control session. This is the same as the Help->QuoteWerks on the Web->Remote Assistance menu, just a lot less steps.

Version 4.5 Build 5 (released April 23, 2010)

  66. For ConnectWise users, there is now a new [Unlink] button on the Create/Update Opportunity window. This is useful when accidentally attaching a quote to the wrong opportunity in ConnectWise. With this feature all entries relating to the QuoteWerks Quote will be removed from the ConnectWise opportunity including: Forecast lines, products listed under the Products Tab, services listed under the Services Tab, the document attachment under the Documents Tab, and the Call activity under the Activities Tab.

See a screenshot of this feature

  67. For ConnectWise users, when selecting a contact to use in the quote, if the contact has multiple sites associated with it, you will be able to choose the particular site you would want to use. Sites can be designated as Primary, Default Ship, Default Bill, and Default Mail. These designations are indicated in your selection list. Additionally, when selecting a Ship To contact for the quote, the Default Ship site will be the default selection.

See a screenshot of this feature

  68. Multiple PDF files can now be merged into a single PDF file. When creating a quote that included PDF literature files and/or PDF spec sheet files, and then emailing the quote, all these PDF files would be attached individually. Now with the new 'Merge PDF files' option, all these PDF files will be automatically merged into a single PDF file with the main quote itself resulting in only one PDF file attachment when emailing quotes. This user based option can be set under the Misc tab of the Tools->My Preferences menu.

See a screenshot of this feature

  69. On the Links tab you can now select Multiple PDF files that are linked and right click to choose the Merge PDF files menu. This will combine the selected PDF files into a single PDF file and will create a file link to the combined single PDF file on the Links tab.

See a screenshot of this feature

  70. On the Print Preview window, when saving the preview as a PDF file, any PDF file attachments will be merged into the resulting PDF file as long as the user option of 'Merge PDF files' is set.

  71. The Recurring Revenue aspects of a product definition can now be imported through the Import Wizard with the macro fields &RecurringData.BillingCycle, &RecurringData.CycleBasis, and &RecurringData.FirstPaymentIncluded.

  72. When using the Price Comparison window to change the vendor for an item, if the item cost in the quote is calculated using a CostModifier like D40, you will now be asked if you want to keep the cost modifier or overwrite the cost with the fixed cost from the comparison window thereby clearing the cost modifier.

Version 4.5 Build 4 (released April 7, 2010)

  73. ConnectWise 2010 is now supported with new built-in ConnectWise link. This new integration is available in the Corporate Edition of QuoteWerks. The integration includes: a) ConnectWise can be searched to find Contacts to pull into the quote. b) QuoteWerks will create/update a Sales opportunity in ConnectWise. You can attach to existing ConnectWise opportunities or create new opportunities in ConnectWise. You can even attach multiple quotes to the same ConnectWise opportunity. QuoteWerks creates forecast lines in the ConnectWise opportunity breaking down the forecasted amount by Product, Service, Managed Service, and Other. This enables you to quickly glance at your opportunity to see your revenue breakdown. Recurring revenue forecasting options are also supported. Products and Services can be optionally be automatically created under the Products and Services tabs respectively in the ConnectWise opportunity. These products are also created and updated in the ConnectWise master product database. c) QuoteWerks will create/update an attachment to the quote under the Documents tab in the ConnectWise Opportunity. This can be used to open up the quote that the opportunity refers to. If this is a remote install or satellite office, opening that document link will import that quote into that QuoteWerks installation. d) QuoteWerks will create/update a call activity in ConnectWise used to follow up on the quote. This call will be linked to both the ConnectWise contact and the ConnectWise Opportunity. e) The QuoteWerks DataLink feature can be used with ConnectWise enabling you to retrieve information like Terms and shipping method from the ConnectWise contact into the quote. f) When printing, QuoteWerks can retrieve Contact data from ConnectWise and include it in the printed output. g) ConnectWise Contact data can be retrieved using the F2 Lookup macro of ~ConnectWise_Macro(). h) QuoteWerks can link to the ConnectWise product database as a Product Data Source. From within QuoteWerks you can search the ConnectWise product database, and add these products to your QuoteWerks quote. i) The integration communicates directly with the ConnectWise backend, so the ConnectWise "fat" client does not need to be running for the integration to work. This is particularly useful if you do not have ConnectWise or QuoteWerks running. In this case, if you want to create a quote, you only need to open QuoteWerks.

  74. Recurring Revenue support. Now, you can use the Line Item Attributes to specify if a line item is recurring revenue like a Weekly, Monthly, Quarterly, or Annual fee. You can set if you want the first month's fee to be due up front or not. You can easily run management reports to see how much Monthly revenue is forecasted based on these recurring revenue items. You can also filter these reports to see when various monthly contract periods are ending, so that you can contact your customers for renewals, etc. Often in a quote, you may have one line item with an Annual recurring revenue and another with a Monthly recurring revenue. Rather than having to individually specify the start and end date for both of these line items, you can just set the ContractStartDate and ContractEndDate on the Sale Info tab and that can be used for both line items. The RecurringBillingCycle, RecurringStartDate and RecurringEndDate columns will be available on the Document Items tab. You have access to all this recurring information in the print layout with the following DocumentItem fields: &LineAttributeIsRecurring, RecurringBillingCycle, RecurringFirstPaymentIncluded, &RecurringRevenueWeekly, &RecurringRevenueMonthly, &RecurringRevenueQuarterly, &RecurringRevenueAnnual. Additionally, there are document level DocumentHeader macros of &RecurringRevenueWeeklySubtotal, &RecurringRevenueMonthlySubtotal, &RecurringRevenueQuarterlySubtotal, and &RecurringRevenueAnnualSubtotal.

  75. QuoteWerks now supports product content subscriptions from Etilize. This subscription provides QuoteWerks users in the IT industry with consumer friendly product descriptions, product images, and marketing descriptions. Without Etilize, QuoteWerks users have to import product information and scour the web looking for product images to download and for product descriptions to include in their quotes and proposals. With Etilize, QuoteWerks searches the Etilize database "from the cloud", and returns product matches including customer friendly descriptions, product pictures, and in depth product summaries with marketing and feature descriptions, all of which are easily added into the quote. The pictures are automatically downloaded and saved into the QuoteWerks\Images folder. Combine the Etilize subscription with the Real-time Pricing & Availability for D&H, Ingram Micro, Tech Data, and SYNNEX, and the Etilize integration will also show you the current pricing and availability for each of these items from each of these distributors all at once. Please note, Etilize supports part numbers from D&H (USA & Canada), Ingram Micro (USA & Canada), Tech Data (USA only), and SYNNEX (USA only).

  76. The Online Ordering Module is no longer sold as a separate $399 annual subscription. The Online Ordering features are now included with the Real-Time Data Module. Additionally, while in demo mode, you can now interact with the Online Ordering screens. You will still need to request a trial key however to activate the ability to actually place an online order.

  77. Real-time Pricing and Availability is now available for the UK IT distributor Westcoast ( www.westcoast.co.uk ).

  78. Real-time Pricing and Availability is now available for the UK IT distributor Northamber ( www.northamber.com ).

  79. Added new CompanyAKA1, CompanyAKA2, and CompanyAKA3 fields to the built-in QuoteWerks contact database. This feature lets you specify up to 3 "Also Known As" (AKA) aliases for each company record. When searching for a contact by company name, if the search phrase finds a match in the Company, CompanyAKA1, CompanyAKA2, or CompanyAKA3 field, that record will be returned in the results. There are many fantastic ways to use this new feature which you will quickly find very useful. For example, a company like "Center for Computer Resources" when asked for their company name may reply with "CCR". If you search your database for CCR you will of course not find it, because the company’s full name is "Center for Computer Resources". Using the new company name aliasing feature, you can set CompanyAKA1="CCR". That way you will find their record if you type in either "Center for Computer Resources" or "CCR". Here is another way to use the Aliasing feature. You may use contact management software "GoldMine". The company that makes "GoldMine" is "FrontRange Solutions, Inc.". If you want to search your database to look for the phone number for GoldMine support, you will most likely remember the name "GoldMine" and not "FrontRange Solutions, Inc." In this case, you can set the CompanyAKA1="GoldMine". That way when you search for "GoldMine" it will pull up "FrontRange Solutions, Inc." Building on this, you could also store the name of your GoldMine reseller in CompanyAKA2, so that when you search for "GoldMine" QuoteWerks returns the contact information for both the company that makes GoldMine and the reseller that services your GoldMine installation. Another really great use for the Aliasing feature is to record company parent and child relationships. A company may have its own particular name like "Aspire Technologies, Inc.", but its parent company is "Lewe Enterprises". You may have "Aspire Technologies, Inc." listed in your database, but when they call you, they say their name is "Lewe Enterprises". In this case, you can set the Company="Aspire Technologies, Inc.", and CompanyAKA1="Lewe Enterprises". Another use would be simply to use the Alias as a nickname. Another use is when a company changes their name. You can put the old name in CompanyAKA1, and update the Company field with the new name. This way, you will find the record when you search for the old or current company name. This is particularly useful when someone who has been with the company for a long time may initially announce themselves as working for an old company name either accidentally or they assume that your records have not been updated.

  80. Added support for a Sales Rep picture and Electronic Signature picture on the Personal tab of the Tools->My Preferences menu. This is a great way for your customers to get to know the personal side of your sales reps. The Electronic Signature picture can be used to add a picture of your handwritten signature to the quote which is another nice personal touch. These pictures are available as the following fields in the layout designer: Application.LoggedInUserPicture, Application.LoggedInUserElectronicSignature, DocumentHeaders.&SalesRepPicture, and DocumentHeaders.&SalesRepElectronicSignature.

  81. On the Layout Designer window, there is now a [Save and Preview] button on the toolbar. With this, you can make a change to a layout and then click this button to perform the combined tasks of saving the layout, closing the layout, and previewing the layout. Additionally, after the preview window is closed, QuoteWerks re-opens the layout in the layout designer so that you can continue making changes!

  82. Added 4 more CustomText fields on the Custom tab of the Quote WorkBook. Added fields CustomText21, CustomText22, CustomText23, and CustomText24.

  83. Added Opportunity Name default on the Misc tab of the Tools|Options menu. Macros are supported. With this, the default Opportunity names can be more descriptive and therefore more useful. Currently this is only used with ConnectWise opportunities.

  84. Keyboard shortcuts for date field entry in most date input text boxes such date fields on the quote workbook tabs, the Edit Product window, Open Document, QuoteWerks Edit contact window, and more. The keyboard shortcuts are as follows: "t"=today's date. "+"=increase the date by one day. "-"=decrease the date by one day. "d"=increase the date by one day. "m"=first day of the month(if field is empty), otherwise increases the date by one month. "h"=last day of the month(if field is empty), otherwise increases date to the end of the current month, and then each subsequent press increases the date to the last day of the next month. "y"=first day of the year(if field is empty), otherwise increases the date by one year. "r"=last day of the year(if field is empty), otherwise increases date to the end of the current year, and then each subsequent press increases the date to the last day of the next year.

  85. You can now specify an ItemType for Percent Charge and Percent Discount line items. Also, the ItemType can now be specified in the definition of Grouped Bundles and Grouped Configurations.

  86. In the Quick Loookup toolbar, if you type in a part number, and the product is not found, the part number field will no longer be cleared.

  87. Added Application->CurrencySymbol field, and DocumentHeaders.&AlternateCurrencySymbol field for the print layout designer.

  88. The Edit Product window caption now displays the Manufacturer Part Number for quick reference.

  89. The SYNNEX description field now supports descriptions longer than 100 chars. A longer description of up to 240 characters (if provided by SYNNEX) is now supported. To apply this change, the SYNNEX product data source will need to be removed and the re-added.

  90. The macro field &SYS_TodaysDateA has been added. It returns a string formatted like "March 19, 2010". The existing macro &SYS_TodaysDate returns a string formatted like "Mar-19-2010".

  91. Added new user level based ini setting of "OutlookBCMAssignedToOveride". This was done to accommodate a situation where the network user machine was only part of a workgroup - not a domain. This caused a problem with the Outlook "Assigned by" field not matching the operating system credentials.

  92. Reseller Branding is now supported. Resellers can request a QuoteWerks Reseller Branding String. When this Branding String is entered into a QuoteWerks installation a Help->Contact My Reseller menu will appear. When the user clicks on this menu, the reseller's contact information, and a personalized message will be displayed. Additionally, when users receive messages from within QuoteWerks and through the QuoteWerks Communicator system, instead of the message saying the generic "contact your local reseller to purchase", it will give specific details on the local reseller to contact including company name, contact name, phone number, email, etc.
Version 4.5 Build 1 (released December 16, 2009)

  1. Updated QuoteWerks Interface! Color Schemes/Skins are now supported in QuoteWerks under the Appearance tab of the Tools->My Preferences user. Color schemes control the appearance of menus, buttons, text boxes and more. QuoteWerks can now look like Windows Vista, Office 2007, or even like a Mac application. You have to see it to believe it! It is really amazing. Each user can choose their own color scheme enabling them to express their personal preferences.

  2. Drag Drop support! You can now drag and drop line items in the quote, instead of having to cut and insert paste line items. You can drag single line items or multiple line items.

  3. There is now a Links tab in the Quote WorkBook. Here you can link external files to the quote document. If, for example, you have created a Visio diagram or cad drawing file that is related to this quote, you can simply select these files to add them to this Links tab. You can even drag the files into the Links tab from Windows explorer. It's that easy. With all the external files related to this quote document displayed on the Links tab, finding and opening them to edit or print is so much easier now because you can just open the QuoteWerks quote, and on the Links tab, all of these files are organized for you. No more trying to remember where they are stored or going searching for them. No more trying to remember where they are stored or going searching for them. Once you've added a file to the Links tab, you can edit the description of the file so that it is displayed as "Network Architecture Design", rather than as the file name "f:\data\VisioFiles\NetworkDesignForABCCompany.vsd".

You can also add website links to the Links tab. You can simply drag the website address from your web browser into the Links tab. You can use this to link a package tracking url into the Links tab. Using the description feature you can name the link "UPS tracking for the flat screen TV". Double-clicking on the link launches the web page. You can add as many links as you like. You could also add links to website pages that contain information about the products you are selling whether it be for your internal reference or for your customer's reference.

  4. There is now a "Create new linked file using template" feature on the Links tab, from within the quote, you can easily create a copy of any file and QuoteWerks will automatically give it a file name unique to this quote and will add it to the Links tab. So for example if you have a document template file called "JobCostAndTimeTracking.xls", simply clicking on the "New file link from template" button on the Links tab, QuoteWerks will make a copy of this file and name it, for example, "AAAQ1001_JobCostAndTimeTracking.xls". You are not limited to only one Excel file template either. You can setup as many as you want. You can have ones for different job types. You can create templates for any file type, even a text file like "OpenItemsTODOList.txt".

  5. Improved Proposal support. Using the "Create new linked file using template" feature on the Links tab, you can also create a proposal template and save it in an RTF format. You can design it to look like your proposals. You can create complete proposal type documents containing different font types, sizes, bold, underlining, colors, bulleted lists, tables, etc. These proposal documents are unique to each quote and have their own unique file name (as described in the "File Name Generation Options" feature). These documents can contain QuoteWerks macro fields so that data from the quote is merged into these proposals resulting in the combined output of your manual customization along with the automation of data merging from the quote. Before QuoteWerks version 4.5, there was no way to merge quote data into an RTF document specific to a particular quote.

  6. On the Print window there is a new Links tab. Here you can choose which files to include in the printed output. If you have any RTF files (like your proposals) linked, just put a checkmark next to it and it will be merged into the printed output. If you are emailing the printed output, you can choose which of the linked resources you would like to include as attachments in the email. So if you want to include that Visio drawing in the email to your customer, just put a checkmark next to it.

  7. ACT! for Web (version 2010) is now supported!. This new integration is available in the Corporate Edition of QuoteWerks. In our experience the ACT! for Web integration is over 50% faster* than the standard ACT! integration. The integration includes: a) ACT! for Web can be searched to find Contacts to pull into the quote. b) QuoteWerks will create/update an attachment to the quote under the Documents tab in ACT! for Web. c) QuoteWerks will create/update a follow up call in ACT! for Web. d) QuoteWerks will create/update a Sales Opportunity in ACT! for Web. e) The QuoteWerks DataLink feature can be used with ACT! for Web enabling you to retrieve information like Terms and shipping method from the ACT! for Web Contact into the quote. f) When printing, QuoteWerks can retrieve Contact data from ACT! for Web and include it in the printed output. g) ACT! for Web Contact data can be retrieved using the F2 Lookup macro of ~ACTForWeb_Macro(). h) There is a "Display contact in contact manager" button on the SoldTo / ShipTo tab that will open the ACT! for Web Contact in ACT! for Web for the SoldTo, ShipTo, or BillTo linked contact. i) On the select Email Address window, you can see all the ACT! for Web email addreses associated with the contact record linked to the Sold To, Bill To, and Ship To fields. j) On the select Email Address window, there is now an option to "Search ACT! for Web" for an email address. You can search your entire ACT! for Web database for an email address, searching by Company, Contact, Last Name, or Phone. *We attribute this to the fact that ACT! is not installed on the same workstation PC that QuoteWerks is installed on. All of the ACT! processing and database searching occurs on a remote server, so ACT! is not using up any of the CPU time or memory on the workstation PC leaving more resources for QuoteWerks and other applications.

  8. SugarCRM 5.5 is now supported!

  9. You can now set the order in which various print elements print. For example, the default is for the Cover Page to print, and then the Print Layout, and then the Spec Sheets, and then the Literature. Now, you can choose the order in which each of these types of print elements are printed. This can be set under the Print tab of the Tools|Options menu.

  10. On the Misc tab of the Tools|Options menu, there are new File Generation options. Here you can control the names of files created during various operations. For example the Document Attachment file is the file that is created when you email a quote. This file may be saved in .pdf or .rtf format depending upon your settings. Before, this file name was simply the document number like AAAQ1001.pdf. Now you can completely control the name of the file to make it more meanful to you and your customer. You can do this using macros like "Document_&DH_DocNo_&DH_DocName" which would result in a file name like "Document_AAAQ1001ChicagoLocationManagedServices.pdf".

  11. There is a new File Generation option for the PO Document Attachment file. When previewing the purchase order, you can save the purchase order preview as a file, or send it as an email. When you do, the file name generated will be based on the macros you define. For example you can set this to "PO_&DH_DocNo_&POVendorName" and the file name will look like "PO_AAAQ1001A_Tech Data.pdf"

  12. There is a new File Generation option for the Report Document Attachment file. When previewing a Management Report, you can save the Management Report preview as a file, or send it as an email. When you do, the file name generated will be based on the macros you define. For example you can set this to "&APP_ReportName &SYS_TodaysDate" and the file name will look like "Quarterly Sales Dec-11-2009.pdf"

  13. There is a new File Generation option for the creation of a "new linked file using template". On the Links tab of the Quote WorkBook, when choosing "New file link from template", this new file will be saved with a generated file name based on the macros you define. For example you can set this to "&DH_DocNo_%filebasename%&SYS_TodaysDate" and the file name will look like "AAAQ1001_Managed Services Implementation_Dec-11-2009.rtf"

  14. Search Online Merchants. Added support for a new Product Data Source - DataFeedFile.com. DataFeedFile.com gathers product data from thousands of Online Stores (merchants) and creates a comprehensive and searchable database, making it possible to easily compare prices between online stores. DataFeedFile.com is a free service. Using the QuoteWerks Real-time module you can search DataFeedFile.com and have access to all this information from within QuoteWerks. In the search results you can right click on the items and choose 'View Item URL' to display the selected item on the merchants website (like amazon.com or buy.com), where you can see more details about that product on that merchant's website.

  15. There is now an Item URL field on the Advanced tab of the Edit Product window for native product databases. With this you can specify a website page to associate with this product. When searching for the product, you can right click on it and choose 'View Item URL' to have QuoteWerks open this URL in your default web browser.

  16. On the Documents tab of the Tools->Options menu, the customized label names for Terms, FOC, ShipVia, Custom PO, Alternate Currency, Customer Profile, and Doc Due Date are now displayed.

  17. There are now "Watch Tutorial Video" links on the Products->Setup Product Data Sources wizard for Ingram Micro, Tech Data, and SYNNEX.

19. In the layout designer when setting background colors, you can now save custom colors in the layout so they will be available to apply to other fields during your editing session, and then next time you edit the layout.

20. Using the "Microsoft Text Driver (*.txt; *.csv)" ODBC text driver, you can now link to comma delimited text files as Product Data Sources. This is very useful when you receive product and pricing information from your vendors in a comma delimited text file format. With this new functionality, you can simply link to that text file instead of having to import the data into a database.

21. On the Online Ordering window, the last selected Online Vendor is now memorized (per user), so the next time you open this window, it will be remembered.

22. On the Layout Designer window, there is now a [Close] button on the toolbar right next to the [Save & Close] button. This button is generally closer to your mouse than the window's close "X" button in the upper right corner. While this change may seem trivial, if you've ever done a lot of layout designing, you'll put a lot less miles on your mouse with this new button.

Version 4.0 Build 50 (released September 22, 2009)
23. Real-time Pricing and Availability is now available for IT distributor Dexxxon Digital Storage ( www.digitalstorage.com ).

24. New and improved PDF generator no longer requires that a printer driver be installed. Requiring a printer driver be installed involved great complexity and many issues arised relating to security (users have to have OS level permissions to install/remove printers) and low level Operating System (OS) functionality such as functionality on 32-bit vs 64-bit Operating Systems, and even would have issues relating to how many processing cores a machine's CPU had. While PDF Generating Printer Drivers are the most prominent means of creating PDF files (because it is easy for the programmer, but problematic for the end user), we have chosen to rise above all this and create a solution that does not require a printer driver thereby leaving all these problems in the past.

25. When choosing the option to embed fonts in the PDF file, the size of the PDF file is now smaller due to the fact that only the font characters that are used in the document are actually embedded in the PDF file. This also makes the document even more tamper-resistant since the only font characters that are embedded in the file are the characters that were used in the file.

26. On the Misc tab of the Tools|My Preferences menu, there is now a new "Color and underline hyperlink URLs when creating PDF file" option. The PDF generator automatically detects hyperlink link strings so that when viewed in Adobe Acrobat you can click on those links to display the link in your web browser. Until now, those links did not look any different than the rest of the text. Now, with this new option, you can choose to have these automatic hyperlinks display as blue underlined links.

27. When PDF files are created, you now have the option to flag them as Read-Only. You can set this option under the Misc tab of the Tools|My Preferences menu. Additionally, when setting the PDF file as Read-Only, you also have the option to prevent the recipient from copying text out of the PDF file. When receiving quotes/estimates, many customers/leads often copy out part numbers and descriptions, and then paste this copied information into a web search engine in an effort to search for better pricing. Without the ability to copy and paste so easily, the recipient would have to spend a lot of time having to re-type all this information which would be a deterrent against them price shopping.

28. When printing a document from the preview window, if the document being printed included PDF formatted Spec Sheets, or PDF formatted Literature Files, a Print PDF file window will now appear that enables you to simply choose which PDF files you want to print, and then it will print them using Adobe Acrobat to the printer that you just printed to from the Preview window.

29. Added Misc Access Rights CannotModifyFieldValue:DH_&SoldToFields, CannotModifyFieldValue:DH_&ShipToFields, and CannotModifyFieldValue:DH_&BillToFields. These completely revoke the user's ability to modify any of the SoldTo/ShipTo/BillTo fields located on the Sold to/Ship to tab of the WorkBook. The user cannot type directly into the fields, nor can they use the Retrieve current contact, Search for Contact, Clear fields, or Copy from buttons to affect the data in the fields. Note, the SoldToPriceProfile field is not included in CannotModifyFieldValue:DH_&SoldToFields. There is a separate CannotModifyFieldValue:DH_SoldToPriceProfile right for this field.

30. Added Misc Access Rights CannotManuallyModifyFieldValue:DH_&SoldToFields, CannotManuallyModifyFieldValue:DH_&ShipToFields, and CannotManuallyModifyFieldValue: DH_&BillToFields. These revoke the user's ability to manually type into any of the SoldTo/ShipTo/BillTo fields on the Sold to/Ship to tab of the WorkBook. They can still retrieve contacts from a CRM using the Retrieve current contact or Search for Contact buttons, as well clear the fields using Clear fields button. They will also still be able to copy the fields from either the Ship to or Bill to sections using the Copy from button. Note, the SoldToPriceProfile field is not included in CannotManuallyModifyFieldValue:DH_&SoldToFields. There is a separate CannotManuallyModifyFieldValue:DH_SoldToPriceProfile right for this field.

31. Added Misc Access Rights CannotManuallyModifyCRMRetrievedFieldValue:DH_&SoldToFields, CannotManuallyModifyCRMRetrievedFieldValue:DH_&ShipToFields, and CannotManuallyModifyCRMRetrievedFieldValue:DH_&BillToFields. These rights behave just like the CannotManuallyModifyFieldValue:DH_&SoldToFields rights, but they only apply once a CRM contact has been retrieved (versus manually typed in) into the quote. Note, the SoldToPriceProfile field is not included in CannotManuallyModifyCRMRetrievedFieldValue:DH_&SoldToFields. There is a separate CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToPriceProfile right for this field.

32. Added Misc Access Rights CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToXX, CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToXX, and CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToXX. These revoke the user's ability to modify a specific SoldTo/ShipTo/BillTo field on the Sold to/Ship to tab, where XX is the field name, when the contact was retrieved from a CRM. If the contact was not retrieved from the contact manager, the user still has the ability to manually type into the field and they still have the ability to clear the field using the Clear fields button, but if the data is retrieved from a contact manager, the returned data will not be modifiable. The complete list of Access Rights are: CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToCompany CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToContact CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToTitle CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToAddress1 CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToAddress2 CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToAddress3 CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToCity CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToState CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToPostalCode CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToCountry CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToPhone CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToPhoneExt CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToFax CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToFaxExt CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToEmail CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToCompany CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToContact CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToTitle CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToAddress1 CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToAddress2 CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToAddress3 CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToCity CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToState CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToPostalCode CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToCountry CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToPhone CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToPhoneExt CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToFax CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToFaxExt CannotManuallyModifyCRMRetrievedFieldValue:DH_ShipToEmail CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToCompany CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToContact CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToTitle CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToAddress1 CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToAddress2 CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToAddress3 CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToCity CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToState CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToPostalCode CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToCountry CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToPhone CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToPhoneExt CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToFax CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToFaxExt CannotManuallyModifyCRMRetrievedFieldValue:DH_BillToEmail

It is located in the "C:\Program Files\Common Files\QuoteWerks" folder and is accessible directly, or through the QuoteWerks Medic Utility under the Utilities|QuoteWerks ACT! Medic Utility menu. On this "Select Default Literature..." window, you can also specify if this default literature will be applied by default when converting, for example, a Quote to an Order using the "Apply this literature to documents that are converted to an Order/Invoice" checkbox. When specify which literature documents to use as a default, you can specify individual literature documents, or you can specify to select all the literature contained within a particular literature folder. When adding new literature later, any files added into the specified literature folder will automatically be included in the default literature, whereas if you choose specific literature documents, the newly added literature would need to be specifically added to the default literature selections.

41. On the Literature tab of the Print window, there is now a [Apply default literature for Quote/Order/Invoice] button. This can be used to apply the default literature selections by adding them to the existing literature selections. Additionally, they cannot change the selection for "Apply default literature for new Order/Invoice" on the Convert Document window.

45. For Canadian users, added support for a document level GST Tax rate. This is important now that the Canadian government has started changing the GST tax rate. Before installing this update we recommend that you do a Utilities|Merge Remote Documents, then install the update, then using the medic utility, you will need to run a SQL command to update all documents prior to the date that you changed the GST Tax Rate in QuoteWerks with the older GST Tax Rate. For MS Access backend database the SQL command would look similar to: "UPDATE DocumentHeaders SET GSTTaxRate=0.05 WHERE LastModified < #01/01/2008#", and for a MSSQL backend the SQL command would like similiar to "UPDATE DocumentHeaders SET GSTTaxRate=0.05 WHERE LastModified < '01/01/2008'". After you run the SQL update query, run the Utilities|Rebuild CM Transport files to update all the DTF files with the new field and data.

46. For Canadian users, the GSTTaxRate field is now available as a DataLink field.

47. Innovative Context-Sensitive Tutorial Video links are now displayed on various QuoteWerks windows as a hyperlink labeled "Watch Tutorial Video". The Context-Sensitive Tutorial Video links obtain their content from the Tutorial Videos page on the QuoteWerks website ( http://www.quotewerks.com/tutorial.asp ). The "Watch Tutorial Video" hyperlink is now available on the Tools|Export To QuickBooks window, the QuickBooks Interactive Link Setup window, Tools|Export To Peachtree window, the Peachtree Interactive Link Setup window, the Realtime tab of the Tools|Options menu, the Products|Setup Products Data Sources menu, the Products|Import Wizard menu, and then Utilities|Sync menu.

50. Added Misc Access Right CannotModifyInventoryAllocation which prevents the user from changing the "Allocate inventory for Orders/Invoices" checkbox on the Convert Document window. Restricting the user with this right, and setting the default for this option effectively sets this value, and then prevents the user from changing it.

Only the quote document file itself is saved here. Copies of literature or spec sheet documents will not be saved here.

119. Added support for Real-time Product Content through OpenICEcat. OpenICEcat is a worldwide open catalogue developed in co-operation with over 150 sponsoring manufacturers for the purposes of providing real-time product content such as detailed product descriptions, pictures, and spec sheets. There is no charge for the OpenICEcat service. The QuoteWerks Real-time module is required to access this information. You can right click on a product and choose the Real-time Content menu to display real-time detailed product descriptions, pictures, and spec sheets for the product. For products in native product databases, you have the option to update the product with this real-time content, and by doing so, the pictures and/or spec sheet files will be downloaded and saved into your QuoteWerks installation for future use. In a situation where a colleague has the document open, has locked their workstation, and is out of the office, other users can still open it (subject to normal rights restrictions) so they can view it. When a customer calls in and asks for information about their quote, other users need to be able to see it instead of being locked out from it. A document opened in Real-Only mode will have “(Read-Only)" displayed in the title bar of the document.

121. Added Misc Access right "CannotModifyFieldValue:DH_InternalNotes" and "CannotModifyFieldValue:DH_PurchasingNotes". Useful for restricting a user from modifying those fields on the Notes tab of the WorkBook. These fields could then be updated with information about the quote that other users can see, but not change.

122. Added Misc Access rights "CannotModifyFieldValue:DI_Description" and "CannotModifyFieldValue:DI_ManufacturerPartNumber". When these rights are set, the user cannot modify these fields on the Document Items tab. This is useful in restricting a user from modifying these values to be anything other than what is defined in the product database. Preventing a user from modifying the Manufacturer Part Number is especially useful in that if it is changed, it no longer matches the entry in the database and/or accounting software. When these rights are set, these columns on the DocumentItems tab will have a grey (disabled) background, and when the user clicks in the cell, the status bar will display "You do not have rights to modify this field. This field is read-only".

123. The list of Misc Access Rights has been re-ordered in order of categorical groupings and can now be sorted alphabetically.

124. Added the default option "Don't update Order with real-time ordered price." to the General tab of the Tech Data Online Ordering Options window. Also added the corresponding option "After order submitted, don't update Order with real-time ordered price." to the Tech Data online ordering window, so that this can be changed per order. This option is useful when you receive special discount pricing from Tech Data that Tech Data does not make available through real-time pricing & availability or ordering. When this option is set, the special pricing in the QuoteWerks order that you have manually entered will not be overwritten with the generic pricing that is returned by real-time pricing & availability in the order.

125. Added Misc Access right "CannotCreateContactRecord". This can be used to prevent a user from creating or cloning contacts in the QuoteWerks contact database.

126. Added Misc Access right "CannotUseRealtimeLicense". Useful for preventing users from using real-time features and thereby reserving a Real-time module license.

127. Added "Use comma (not space) to delineate part number from quantity in Quick Lookup Bar." option to the Misc tab of the Tools|My Preferences menu. This is useful when your part numbers contain spaces.

128. When searching for contacts under the Contacts|Lookup menu, the ability to sort columns in the results grid by clicking on the column header is now also supported for ACT!, MS CRM, Outlook, Peachtree, QuickBooks, SalesLogix, and salesforce.com users.

129. Added a View/Modify button for the Spec Sheet field on the Advanced tab of the Edit Product window.
130. Added View/Modify and Refresh buttons for the Picture File field on the Picture tab of the Edit Product window.
131. For API users, added new Database backend object. With this developers can read from and write to any QuoteWerks database, except the product databases. This is useful for performing database related activities like importing and exporting records, running queries to find particular data, etc. For security purposes a Developer Access Key system was implemented so that the QuoteWerks administrator will have control over what applications will have this access to the QuoteWerks databases. This security is administered under the Security tab of the Tools|Options menu.

132. For API users, added new DocFunctions.DocumentSave method. This method can be used to save a new document, or save changes to an existing document. It does not however perform any CRM related integrations.

133. For API users, added the Installation.UniqueID property. This is the counterpart to the Application.GetMacro method. The Application.GetMacro("&SYS_InstallUniqueID") will return a unique ID that indentifies this QuoteWerks installation. Then, with this, the developer loop through all the installations (using the backend dll object) to find the installation with the matching unique id.

134. For API users, added new Application.DoAction method. This .DoAction method enables developers to initiate menu selections. Currently supported are "CallMenuFileSave", and "CallMenuToolsOptions".

135. Added macro &SYS_InstallUniqueID.

136. Updated QuoteWerks on October 16th, 2008 to support another new real-time URL that Ingram Micro has implemented for USA and Canada.

137. Retrieving product data from salesforce.com product data source is now faster when only linking to one salesforce.com Price Book.

138. For API users, in the FindAndCopyProductsIntoMLIBuffer method, the "Begins with" operator is now suported for QuickBooks, Peachtree, and salesforce.com Data sources.

139. When cloning a product using the Product Lookup window right click menu, there is now a Clone Product window where you can choose to optionally clone this item's Required, Optional, and Substitute items.

140. The Project No field was added to the Sale Info tab of the Quote WorkBook.

141. On Documents tab of Tools|Options menu you can now set a default value for the Cust PO# (SoldToPONumber).

142. Increased the vertical size of the Bundles and Configurations windows by 30%.

143. When first running QuoteWerks, when the country is selected in the setup wizard, the default language for the Real-time Product Content will be set based on the Country selection.

144. On the Product Lookup window right click menu, the Show Item Requirements, Show Item Options, and Show Substitutions menu items will now be disabled if there are no items for each type respectively.

145. Added Misc Access rights CannotModifyFieldValue:DI_VendorPartNumber, CannotModifyFieldValue:DI_CustomText01, CannotModifyFieldValue:DI_CustomText02, CannotModifyFieldValue:DI_CustomText03, CannotModifyFieldValue:DI_CustomText04, CannotModifyFieldValue:DI_CustomText05, CannotModifyFieldValue:DI_CustomText06, CannotModifyFieldValue:DI_CustomText07, CannotModifyFieldValue:DI_CustomText08, CannotModifyFieldValue:DI_CustomText09, CannotModifyFieldValue:DI_CustomText10, CannotModifyFieldValue:DI_CustomText11, CannotModifyFieldValue:DI_CustomText12, CannotModifyFieldValue:DI_CustomText13, and CannotModifyFieldValue:DI_CustomText14.

146. When running management reports, you can now insert the fields Application->ReportFileName, Application->ReportName, and Application->ReportDescription into layouts used in reports. This is useful when a report layout is used with multiple reports. For example you might have several reports like Today's Quotes, This Week's Quotes, and Last Month's Quotes. The layout format for all of them will most likely be the same. If you wanted the layout to print the text "Last Month's Quotes" you would have to manually insert a label with that text and would have to create a different layout for each report just to have that unique label. By inserting the new Application->ReportName field into the same layout shared by these reports, whichever report is printed will display the respective report name like "Last Month's Quotes".

147. Added new &APP_CompanyMessage1 and &APP_CompanyMessage2 macros. The values for these macros can be set on the Company tab of the Tools|Options menu. These are useful for storing, for example, a daily special and/or the monthly special. What is so powerful about this feature is that these macros can be inserted into cover pages, print layouts, email signatures, etc. When you change the Company Message value, it automatically changes everywhere it is used, so you do not have to manually update your cover pages, print layouts, and email signatures with the daily special - EVERYDAY! Alternatively, you could store something like "Serving the Chicago land area for over 15 years." and when you’ve reached year 16, you will just need to make the change in one place.

148. Macros are now supported in Document Names for templates. For example, if you save a document as a template and give the template a name like "Standard System - &DH_SoldToCompany &SYS_TodaysDate", then when you use the template by selecting this template from the File|New menu, and then save the resulting document, those macro values will be replaced with the actual values.

149. Added support to increase the maximum number of open documents allowed at the same time. The default maximum number is 5. Editing the SITE.INI file and adding the INI key MaxNumOpenDocs under the [System] section you can set this maximum number to a value between 1 and 10. We recommend that you use this setting with caution as the use of this setting may cause you to run into memory issues depending upon your machine and usage (size of each document). If you run into issues, we recommend you reduce the MaxNumOpenDocs .

150. On the Utilities|User Maintenance window, pressing the DEL key will now initiate the delete for Users or Groups.

Version 4.0 Build 39 (released August 25, 2008)
151. Custom Menus can now be created under all of the root menus of the Quote Workbook. So custom menus can be created under the File/Edit/View, etc root menus. These custom menu items can be used to launch external programs, open documents, or open a website URL. Macro field can be included in the command line used to launch these external programs effectively enabling you to pass information about the current line item such as &DI_ManufacturerPartNumber to the external application when the custom menu item is clicked on. You can also specify whether or not to start the application in normal window or maximized window size and can choose to run this command only once, or once per each line item that is currently selected. This new Menu Customization functionality is available under the Tools|Customize Menus menu. It can also be accessed from the User Preferences window and also by right clicking on a User in the User Maintenance window and selecting Customize Menus. Both users and administrators can create menu items and then specifically choose which users are allowed to have access to that menu item. This enables users to create their own menu items and to share those menu items with other users. Once a menu item has been created and made available to a user, the User can choose to include this menu item in their menus and choose the location of this menu item within the assigned root menu. Misc Access right of "CannotCreateMenuItems" is available to prevent specific users from being able to create menu items. The Misc Access right "CannotModifyMenus" can be assigned to specific users to prevent them from being able to customize their menus at all.

152. Custom Menus can now be created for the Product Lookup Context Menu. This enables you to right click on a product in the Product Lookup window and launch an external application or open a website based on this item. Macro fields &PL_VendorPartNumber, &PL_ManufacturerPartNumber, &PL_UnitCost, &PL_&SelectedPDS, &PL_RecID, &PL_CustomText01, &PL_CustomText02, &PL_CustomText03, &PL_CustomText04, &PL_CustomText05, &PL_CustomText06, &PL_CustomText07, &PL_CustomText08, &PL_CustomText09, &PL_CustomText10, &PL_CustomText11, &PL_CustomText12, &PL_CustomText13, and &PL_CustomText14 are specifically supported for this context menu. This enables an external application to be launched with the selected part number being passed to the application as a command line parameter so that the 3rd party app could perform an action based on that part number. You can also use this functionality to view product details on a website by passing the product part number as a macro in the url. Menu items created for this Product Lookup Context Menu will be displayed when any product data source product is right clicked on (subject to view rights assigned when the Menu Item is defined). Menu Items can also be created that are specific to individual product data sources. So for example a custom Menu Item will only be displayed when you right click on a product. For example, if you right click on a product in the Tech Data Product Data Source it could run a command like "http://www.techdata.com/tools/ProductDetail/ ProductDetail.aspx?P=&PL_VendorPartNumber". This would open the Tech Data website and display the Specifications and Details for the product that you have selected in QuoteWerks. Another example would be the web URL of "http://www.google.com/products?q=&PL_Manufacturer PartNumber&price1=&price2=&PL_UnitCost&lnk=prsugg". This would perform a froogle search that will search the web to see if the selected item can be purchased for a cost lower than what you have in the database!

153. ACT! 2009 is now supported!

154. SalesLogix 7.5 is now supported!

155. Ingram Micro France Real-time Pricing & Availability is now supported!

157. In the QuickBooks link (USA version only), there is now a new option "Use tax item from QuickBooks customer (if exists), otherwise use Default tax item." on the Sales Tax tab of the QuickBooks link setup. When this is selected, and exporting estimate or invoice to QuickBooks for a customer that already exists in QuickBooks, the default tax item name associated with the customer definition in QuickBooks will be used.

158. The User Maintenance window now has a right click menus for the existing buttons, and also add new menu items "Customize Menus..." and "Customize Document Items columns..." enabling the administrator to more quickly access those settings for the selected user.

159. Added "This server requires an encrypted connection (SSL)" option to the Sending sub tab of the Internet tab under the Tools|My Preferences menu. With this option, you can use the QuoteWerks built-in SMTP email to send emails using SMTP email servers (such as Google's GMAIL and AT&T mail) that require an encrypted connection.

160. The Paste Special Wizard now accepts data copied from HTML tables. This is useful when copying information from tables listed on web pages or Dell HTML quotes.

162. When cloning a Product Data Source, the PDS Access Rights are now cloned.

163. When searching the QuoteWerks contact database by phone, if you search using the Begins with operator and enter the area code '215' for example, the value '(215' will also be searched for automatically.

164. The DocumentItems.&Line1Manufacturer field is now available in the print layout designer.

165. In the Sync Wizard, when selecting to start a new session, the location of the master install last selected when starting a new session will be set as the default.

166. When the API method FindAndCopyProductsIntoMLIBuffer was called and external product data sources like QuickBooks, Peachtree where not running, a message box would be displayed to that effect. This would interrupt the program execution of the external API application. Now, no message boxes are displayed if there is a problem with QuickBooks or Peachtree not running; essentially normal usage. However, if there is a configuration or setup issue, message boxes may still be displayed. In the case where QuickBooks or Peachtree is not running the error of -40 will be returned.

167. The API method FindAndCopyProductsIntoMLIBuffer will now return error -11 if the Operator being passed is not supported by the product data source. For example, QuickBooks, Peachtree, and salesforce.com product data sources only support the "Equal to" operator.

168. When F2 Lookup display for memo field type columns on the Document Items tab is displayed, the values can now be multi-line. Also when zooming on the Description, CustomMemo01, or CustomMemo02 Document Item cell, if use lookup from the Zoom window, these values can now also be multi-line.

169. You can now search by Account Number in the QuoteWerks contact database search window. The Account Number column is also displayed in the results grid. If QuoteWerks was installed prior to this build, you will need to delete the [ContactSearchWindowGridSettings] section from the user ini file (by selecting the [Edit User INI] button from the Installation tab of the Tools|Options menu) for the new Account Number column to appear.

170. You can now drag files, web pages, and text into the Edit Menu Item Command field.

171. Added macro field &PL_Manufacturer.

172. A new and improved format was adopted for the sample layouts that ship with QuoteWerks. A Canadian layout was added, and color coding was applied to distinguish quotes/orders/sales orders/invoices/purchase orders.

173. DataLink is now supported for salesforce.com!

174. For salesforce.com users, when saving the quote and choosing to create a salesforce.com opportunity, you can now choose to attach to an existing salesforce.com opportunity.

175. Added [Export Contacts] button to the Contacts|Setup Contact Manager menu for the QuoteWerks contact database. You can now export all the contacts in the contact database to a tab-delimited text file.

176. Added an [Export to Clipboard] button for the QuoteWerks contact database. Now, you can export any results of searches to the clipboard.

177. When right-clicking on the Export menu from the Products | Setup Product Data Sources menu, you can now specify the file name and location for the export file.

178. Added "CannotExportProducts" Misc Access right. This can be used to prevent a user from exporting products out of a QuoteWerks product database to a text file. An example is when the right-click Export menu is selected from the Products | Setup Product Data Sources menu.

179. Added "CannotExportContacts" Misc Access right. This can be used to prevent a user from exporting contacts out of the QuoteWerks contact database to a text file which is accessed through the [Export Contacts] button under the Contacts|Setup Contact Managers menu. This is a useful security feature that would prevent a user from exporting your entire customer list.

180. Added Select All and De-Select All buttons to the QuickBooks and Peachtree Batch Export window.

181. Added Select All and De-Select All buttons to the Apply to selected user(s) only" option on the Apply to tab of the Publish Menu Items for Display window and Customize Document Columns window and Customize Product Database Columns window.

182. Added Select All and De-Select All buttons to the Customize Document Columns window and Select PDF Files to Print window.

183. An Grand Total Amount column was added to the Associated Documents tab of the View|Associated Documents menu.

184. Added macro fields &DI_&CurrentCellName, &DI_&CurrentCellText, &DI_&CurrentCellSelectedText, and &DI_&CurrentCellSelectedOrAllText. An example of their use would be to create a custom menu item called "Open in browser" in the Edit menu, set the Action to "Open a Web URL", and in the Command use the macro &DI_&CurrentCellSelectedOrAllText. Then when you right click on any cell in the Document Items tab and choose that menu item, the selected text in the cell will be passed to your default web browser to be opened. If no text is selected, then the entire contents of the cell will be passed to the web browser.

Version 4.0 Build 37 (released June 11, 2008)

189. When adding a Bundle to the quote, you can now choose to either add or insert it.

190. When a User is cloned, the Individual Product Data Source security settings are now cloned.

Version 4.0 Build 36 (released June 2, 2008)
192. QuickBooks 2008 Canada is now supported!

193. QuickBooks 2008 Canada (multi-currency version) is now supported! Starting with 2008, there are two versions of QuickBooks Canada. The primary version uses the new unified QuickBooks SDK and does not support multi-currency. This is the version that is widely available. There is also a multi-currency version which is now only sold direct to consumers over the phone.

194. QuickBooks 2008 UK is now supported!

195. Ingram Micro Belgium Real-time Pricing & Availability is now supported!

196. Updated QuoteWerks to support the new real-time URL that Ingram Micro has implemented.

197. Added an [Export to Clipboard] button on the File|Open menu. Now, you can export any results of searches to the clipboard.

198. In the View|Customize columns window, you can now drag items up or down to change their order instead of having to repeatedly use the [Move Up] or [Move Down] buttons.

199. In the Customize Product columns window, you can now drag items up or down to change their order instead of having to repeatedly use the [Move Up] or [Move Down] buttons.

200. In Tools|Export to Clipboard and Tools|Export to Excel double-clicking in the Columns Available list now adds the column to the Selected Columns list. Also you can now drag items up or down to change their order instead of having to repeatedly use the [Move Up] or [Move Down] buttons.

201. In Tools|Export to Clipboard and Tools|Export to Excel the Columns that are selected (including their order) are now saved (per user) so that the next time you do the export, your last selections are automatically applied.

202. Added new print layout DocumentItems macro field DocumentItems->&LineItemCount. This can be used to display the total number of line items in the quote in any location of the print layout such as a header or footer section.

204. On the Defaults subtab of the Internet tab under the Tools|My Preferences menu, the default cc and bcc email address now support macro fields.

205. Added macro fields %CommonFiles% and %MyDocuments% that can now be used in the menuopts.add file. This enables you to create custom menus under the Tools menu that performs actions such as opening a document or running an external program. With these new macros, you do not have to hard code the path to these folders, so if they are different on different machines, these locations will automatically be correctly identified. For example you can start an external program and have it open a document in your My Documents folder with a command like "%program files%\CustomApp\apiapp.exe %MyDocuments%\readme.txt".

206. Added command line option "/dontstartaddons" command line option. This option is useful when you are automating QuoteWerks to for example run a product import through the command line, and a 3rd party addon is loading and stopping the process because it is asking for you to supply login credentials. This command line option requires the /exit command line option, so when the process has finished, QuoteWerks will shutdown. Requiring QuoteWerks to shutdown after it has performed the automated action, when the /dontstartaddons command is used, will prevent the situation where QuoteWerks is running and the QuoteWerks user is logged in and using QuoteWerks, but their addon is not running.

207. The Product Import Wizard can now auto-detect the "|" (pipe character) as a field delimiter.

208. You can now export the list of users to the Windows Clipboard from the Utilities|User Maintenance menu.

209. On the Create GoldMine forecasted sale window, Create GoldMine call window, and Create GoldMine Completed sale window, the GoldMine activity codes are now displayed in a drop down combo (so you do not have to manually re-create this list in a QuoteWerks F2 Lookup list)

210. On the Create GoldMine Completed sale window, the GoldMine Result codes are now displayed in a drop down combo (so you do not have to manually re-create this list in a QuoteWerks F2 Lookup list)

211. Added SoldToCompany column to the Online Orders window. Useful as a reference when deciding which items to place on the Tech Data order.

212. On the Online Orders window you can now re-arrange the columns. The re-arrangements are not saved.

213. When selecting the picture file for a product on the Edit Product window, if sub folders have been created under the QuoteWerks\Images folder and an image file from one of those subfolders is selected, only the relative path will be stored like "subfolder\speaker.jpg". This is particularly useful when product databases are used in different installations that have different paths.

214. When selecting the Spec Sheet file for a product on the Edit Product window, if sub folders have been created under the QuoteWerks\SPECS folder and a spec sheet file from one of those subfolders is selected, only the relative path will be stored like "subfolder\specs.rtf". This is particularly useful when product databases are used in different installations that have different paths.

215. After selecting a file for the Product Import wizard, the next time during that QuoteWerks session you select an import file, it will default to the last folder that an import file was selected from.

216. After selecting a file for the Paste Special, the next time during that QuoteWerks session you select a file for the Paste Special, the default folder will be the last folder you selected the last file from.

Version 4.0 Build 35 (released April 9, 2008)
217. MS Dynamics CRM 4.0 is now supported!

218. For MS CRM users that have changed their statuscode or opportunityratingcode values to anything other than the default there are now INI settings in the site.ini that can be set to accommodate these non-default codes. Under the [Contact Managers] section of the site.ini file the following keys can be set: MSCRMOppStatusCodeOpen, MSCRMOppStatusCodeWon, MSCRMOppStatusCodeCanceled, MSCRMOppStatusCodeOutSold, MSCRMOppRatingCodeHot, MSCRMOppRatingCodeWarm, and MSCRMOppRatingCodeCold.

219. The QuoteWerks contact lookup search window has been redesigned. You can now perform searches by company name, last name, phone number, or e-mail address. You can run "Equal to", "Not Equal to", "Begins with", "Ends with", "Contains", and "Does not Contain" searches. The matching results will automatically populate as you type. Columns can be re-ordered, resized, and sorted (by clicking on column header). Clicking the column header again will reverse sort the column. Column orders, sizes, and last sort column are remembered per each user.
220. Added fields AccountRep, LeadSource1, LeadSource2, CustomText01, CustomText02, CustomText03, CustomText04, CustomText05, CustomText06, CustomText07, CustomText08, CustomText09, CustomNumber01, CustomNumber02, CustomDate01, CustomDate02 fields to the QuoteWerks contact database. Also added DataLink support for all these fields.

221. All the labels on the QuoteWerks Edit Contact window can now be customized. Any label customizations here will also be reflected as column headings when viewing these columns in the QuoteWerks contact lookup window.

222. F2Lookup support has been added for the fields AccountRep, LeadSource1, LeadSource2, Terms, and TaxRate.

223. All the QuoteWerks contact database fields are available as columns on the QuoteWerks Contact Lookup window. You can re-arrange and resize these columns. The settings will be remembered for each user.

224. On the Sold To/Ship To tab, added "Copy" buttons to the Sold To, Ship To, and Bill To fields. These are very useful if you have manually typed the customer information into any one of the Sold To, Ship To, or Bill To fields and want to copy that information into any other area.
225. In a multiple monitor environment, status windows are now displayed on the same monitor as the main QuoteWerks window instead of always displaying on the primary monitor.

226. On the Price Comparison window (Tools|Compare Prices between Vendors menu), after retrieving real-time information, the quantity in stock is now displayed next to the price for both your preferred warehouse availability and the total availability.

227. Added [Select All] and [Deselect All] buttons to the Price Comparison window (Tools|Compare Prices between Vendors menu).

228. Re-designed the File|Insert Document window to add the ability to search by DocName, DocNo, and SoldToCompany. You can run "Equal to", "Not Equal to", "Begins with", "Ends with", "Contains", and "Does not Contain" searches. SalesRep and DocDate columns will be displayed in addition to the search fields. Columns can be re-ordered, resized, and sorted (by clicking on column header). Clicking the column header again will reverse sort the column. Column orders, sizes, and last sort column are remembered per each user.
Version 4.0 Build 33 (released March 3, 2008)
229. New Online Ordering module (requires real-time module) can place online orders with Tech Data (USA) from within QuoteWerks. Order items from a single order, or combine items from multiple QuoteWerks orders into a single Tech Data order. This will save you the time and hassle of calling your Tech Data sales rep and reading each part number, quantity, and price to him/her. Another benefit is that the order date and Tech Data sales order number will automatically be stored with your QuoteWerks order for reference. When placing Tech Data online orders electronically through QuoteWerks, there is an option that will let you flag the order for manual review and release by a sales rep. This will afford you an opportunity to review the order with your distributor rep and negotiate pricing without the time consuming process of reading to your sales rep all the part numbers, quantities, ship to location, etc. You can also place a note in the order to ask the sales rep to call you to confirm pricing. No more calling your distributor sales rep only to reach voice mail (understandable - sales reps can't be on the phone with more than one customer at a time) and then have to remember try again later in the day to place the order - or wait for a call back! This is truly the best of both worlds - automation with sales rep service! Supports government and educational pricing, Tech Data MyOrderTracker, and assists Tech Data MyOpportunityTracker by optionally supplying end user details with the order.

230. QuickBooks 2008 (USA only) is now supported!

231. Microsoft SQL Server 2008 is now supported!

232. GoldMine 7.5 is now supported!

233. Maximizer 10 is now supported!

234. SalesLogix 7.2 is now supported!

235. Ingram Micro United Kingdom real-time Pricing & Availability is now supported!

236. When closing certain windows like the main QuoteWerks window, the Product Lookup window, the Open Document window, the View Log window, Configuration Setup, and Edit Item window the position and size of the window is saved for the next time that you open that window. In situations where a user runs QuoteWerks from more than one machine like if QuoteWerks is run from a network workstation (that has dual monitors) and then also is run through terminal services (which does not have dual monitors), when QuoteWerks is run through Terminal Services, if one of those windows was last open on the second monitor, the window would display outside of your viewable area (so you could not see it). Now all window memorized position data is stored per user per machine name which supports differing monitor configurations.

237. Added CustomNumber03, CustomNumber04, and CustomNumber05 fields to the Edit Product window. These fields also display in the Product Lookup and Document Items grids.

238. Added CustomText11, CustomText12, CustomText13, and CustomText14 fields to the Edit Product window. These fields also display in the Product Lookup and Document Items grids.

239. On the Personal tab of the Tools|My Preferences menu, added fields Address1, Address2, Address3, City, State, PostalCode, Country, PhoneExt and FaxExt. This is useful for Terminal Server or Citrix type of environments where sales reps from various geographical locations connect to the server and all need to display their own address information on print layouts rather than the central company address information. These fields are available in the layout designer under the 'Application' table as LoggedInUserAddress1, LoggedInUserAddress2, LoggedInUserAddress3, LoggedInUserCity, LoggedInUserState, LoggedInUserPostalCode, LoggedInUserCountry, &LoggedInUserAddress, &LoggedInUserFullAddress, LoggedInUserPhoneExt and LoggedInUserFaxExt. Additionally, these same fields are available as cover page/literature document macros as &APP_LoggedInUserAddress1, &APP_LoggedInUserAddress2, &APP_LoggedInUserAddress3, &APP_LoggedInUserCity, &APP_LoggedInUserState, &APP_LoggedInUserPostalCode, &APP_LoggedInUserCountry, &APP_&LoggedInUserAddress, &APP_&LoggedInUserFullAddress, &APP_LoggedInUserPhoneExt, and &APP_LoggedInUserFaxExt.

240. In conjunction with the new LoggedInUserXXXX fields, added the fields &SalesRepAddress1, &SalesRepAddress2, &SalesRepAddress3, &SalesRepUserCity, &SalesRepUserState, &SalesRepUserPostalCode, &SalesRepUserCountry, &SalesRepAddress, &SalesRepFullAddress, &SalesRepUserPhoneExt and &SalesRepUserFaxExt in the layout designer under the 'DocumentHeaders' table. Additionally, these same fields are available as cover page/literature document macros as &DH_&SalesRepAddress1, &DH_&SalesRepAddress2, &DH_&SalesRepAddress3, &DH_&SalesRepCity, &DH_&SalesRepState, &DH_&SalesRepPostalCode, &DH_&SalesRepCountry, &DH_&SalesRepAddress, &DH_&SalesRepFullAddress, &DH_&SalesRepPhoneExt, and &DH_&SalesRepFaxExt.

247. For QuickBooks users, there is now an option to specify 'Ready for Export' criteria. With this new feature, only documents that match your criteria will be displayed in the Non-Exported documents tab on the QuickBooks batch export window. The DocType can now be specified in addition to the DocStatus being 'Equal to' or 'Not Equal to' one or more values. This is useful to set, for example, DocStatus 'Not Equal to' "Lost,Void,Exported" so that any documents that have been Lost, Voided, or Exported will not be displayed. The drop-down list will display all DocStatus F2 Lookup values and all unique values from the database.

257. For QuickBooks users, on the Product Lookup window, you can now enter a % symbol before the value in the manufacturer part number field (QuickBooks Item Name) to return any products that end with the value you are searching for. If you also check the "Begins with" checkbox, it will return any products that contain the value you are searching for. You can also just use the % symbol before and/or after to value to accommodate all combinations ("%door", "door%", "%door%") without having to check the "Begins with" checkbox.

258. For Peachtree users, on the Product Lookup window, you can now enter a % symbol before the value in the manufacturer part number field (Peachtree Item ID) to return any products that end with the value you are searching for. If you also check the "Begins with" checkbox, it will return any products that contain the value you are searching for. You can also just use the % symbol before and/or after to value to accommodate all combinations ("%door", "door%","%door%") without having to check the "Begins with" checkbox.

259. For salesforce.com users, on the Product Lookup window, you can now enter a % symbol before the value in the manufacturer part number field (salesforce.com Product Code) to return any products that end with the value you are searching for. If you also check the "Begins with" checkbox, it will return any products that contain the value you are searching for. You can also just use the % symbol before and/or after to value to accommodate all combinations ("%door", "door%","%door%") without having to check the "Begins with" checkbox.

260. On the Product Lookup window, when a salesforce.com Product Data Source is selected and the grid has focus, pressing the F5 key will force QuoteWerks to re-retrieve the list of products from salesforce.com (rather than use the cached values normally used for increased performance).

261. Added new Utilities|API Info menu to the Medic Utility. This will verify that the qw4.dll is registered and functioning, and will display the location, version and date/time of the file.

262. On the QuickBooks and Peachtree batch export window, pressing the F5 key will refresh the list of documents displayed.

263. For Peachtree users, when exporting an Invoice to Peachtree, if the DocDueDate field on the QuoteWerks Sale Info tab was empty, a Due Date will be calculated using the Terms value with the reference date being the Document Date or Date Exported depending upon the setup option you have selected in the Peachtree link setup.

264. On the Compare Assistant window, when searching for a part number, any part numbers that begin with the entered value will be displayed rather than only exact matches.

265. For Peachtree users, "Cost of Sales" type accounts are now listed in the Default GL Purchase Account drop down on the Items subtab of the Mappings tab under the Tools|Options menu.

266. Add "Our Company Location" settings on the Company tab under the Tools|Options menu (company tab was added for this feature). Here you can specify the physical location of your company which can then be used in print layouts, cover pages. 269. In the Product Lookup window, the product database resizing pane can now be resized 20% wider.

270. Added new 'DLL' object to the QuoteWerks API Backend qw4.dll. Through this QuoteWerksBackend.DLL interface you can retrieve the properties: VersionMajor, VersionMinor, VersionRevision, File. These are useful in determining which version of the backend object is currently installed. This feature was added in revision 10 of version 4.0.

271. For API users, QuoteWerksBackend.Installations collection now includes all the installations that are available through the local machine. The collection lists the installations in the priority assigned through the QuoteWerks Launcher app. The collection only lists installations that are currently valid and accessible which is useful in situations where QuoteWerks is installed on the network and on the local laptop. Typically in that environment, the QuoteWerks Launcher would be used to set the Network installation as the first installation to try and use and if it is not available, then use the laptop installation. When the laptop is disconnected from the network, the Laptop installation will be the first installation listed in the collection. For existing code, this change mostly changes which installation is located in the (1) position of the installations collection. Before build 33 it was the last installation installed. After build 33 it is whichever installation has been set as the top priority.

272. Added new Peachtree option "Use company name instead of contact name for Ship To Name" on the Customers subtab of the Mappings tab on the Peachtree Interactive Link Setup. When this option is selected, the company name instead of the contact name will be used when creating the ship to record in the Peachtree customer record and also in the Peachtree Invoice, Sales Order, and/or Purchase Orders.

Version 4.0 Build 31 (released September 13, 2007)
273. Tremendously improved Peachtree link. This new Peachtree link uses the interactive Peachtree API instead of the older manual export and import methods which brings many new features and benefits. You can now export batches of invoices/sales orders and/or purchase orders to Peachtree. If a customer does not exist in Peachtree, QuoteWerks can now create customers in Peachtree for you. Customer information is also updated automatically. If an Inventory Item does not exist in Peachtree, QuoteWerks can now create items in Peachtree for you. Item prices in Peachtree are also updated automatically. Grouped bundles can now be exported as a single line item in Peachtree. When purchase orders are created in Peachtree, there is now an option to lookup the vendor full name in Peachtree to obtain the Vendor ID for the Peachtree Vendor. Using this option, you no longer need to maintain a manual translation between vendor names and Peachtree Vendor ID's. You can now choose which vendors you want to create purchase orders for instead of just all of them. The Peachtree link now has Purchase Order creation options of Never, Always, and Prompt. The invoice and SO due date is now based on the DocDueDate field on the Sale Info tab instead of just 30 days from the document date. The PO Good Through date passed to Peachtree is now 30 days from the export date. There are now 5 sales rep id mapping options and the manual mapping now displays the Peachtree Sales Rep ID and Peachtree Sales Rep full name on the mapping window making it much easier to setup. When exporting, if a manual sales rep id mapping is not found, you will be prompted to select the appropriate rep. Purchase Orders can now be exported separately from the corresponding Invoice/Sales Order. There is now an option for 'Part Numbers are required for all items exported to Peachtree'. QuoteWerks can link directly to the Peachtree product list (without the need to import the data) giving you access to real-time availability, part numbers, description, and pricing. Peachtree can now be used as a source of customer/contact information just like the integration to the contact management software! DataLink support has been added for Peachtree including ability to pull from ShipVia, BillToTaxCode, and Custom fields into the quote. Works with Peachtree 2006, 2007, and 2008.

274. Improved Paste Special Wizard now supports the ability to copy data from outside of QuoteWerks and paste it into QuoteWerks as line items in the quote. Static information such as descriptions, prices, etc can be pasted in and/or a part number can be used to retrieve all the product details from a product database. This feature can be useful for integrating with external software outputs like the Cisco and HP configurators. The Cisco configurator outputs a ManufacturerPartNumber, Description, and Quantity. QuoteWerks can now import this data as line items and automatically retrieve the price for these items from a QuoteWerks product database. The HP configurator outputs a ManufacturerPartNumber only. QuoteWerks can now import this data as line items and automatically retrieve the Description, and Price for these items from a QuoteWerks product database. All settings can be saved to templates and with the One-Step option, a paste special can be run with a single click. Pre-defined sources like the "Tech Data Shopping Cart File" and "Tech Data Search Result File" already contain all the paste special template details like field mappings, file names, etc enabling you to get up and running fast.

275. Added Misc Access right. You may want to restrict a user from being able to delete a Paste Special Template. Use the Misc Access right "CannotDeletePasteSpecialTemplate".

279. There is now a User Full Name setting on the Personal tab of the Tools|My Preferences menu. While we recommend that you setup QuoteWerks User Login names to be the reps name like "John Lewe", in the event you setup the QuoteWerks User Login name to be more like "JLEWE", this Full Name setting enables you to set it to a full name like "John C. Lewe IV" and then display this Full Name on print layouts, reports, and cover pages.

280. Added 4 more CustomText fields on the Custom tab of the Quote WorkBook. Added fields CustomText17, CustomText18, CustomText19, and CustomText20.

285. The QuoteWerks WebConnector now supports the additional parameters of &QuoteWerksUserName= and &QuoteWerksUserPassword=. Note, you can use the DECRYPT: feature of the QuoteWerks login password so that the actual password does not have to be included in the URL as plain text that anyone can see.

286. Added new salesforce.com option "Enable 'SandBox' mode testing environment". This option enables QuoteWerks to to take advantage of the salesforce.com Sandbox which enables you to create a fully replicated, scalable on-demand customer replica environment for customization, integration, testing, development and training purposes.

For Standard and Professional Edition users and Corporate Edition users that have not rehosted to SQL, the maximum number of line items is 600. Please note that while the number of supported line items has increased, more line items equates to more data that will be saved thereby increasing the amount of time it takes to open and save these larger documents. Additionally, opening and saving 1500 line item quotes may require additional RAM on the PC. Saving a 1500 line item quote with 350 characters of description in each line item takes around 30 seconds to save on a Pentium 4 (1.6 MHz) machine running Windows 2000 with 1.2 GB RAM saving to a Microsoft SQL Server 7 database.

To set this restriction, Use the security right "CannotSetOneStepSyncProfile".

398. Misc Access right. You may want to restrict the user from making any changes to synchronization settings before running them. Using the security right "CannotModifySyncSession" will disable the Advanced Sync options of "Start new session" or "start session using profile". When this security option is set, the only option for the user in the synchronization wizard is to run the One-Step sync. If you have hidden the Utilities|Sync menu from this user, then this user would have no access to run a synchronization.

399. Misc Access right. You want a user to be able to load an existing sync profile, make changes and run the changes, BUT NOT save the changes into the profile. Use the security right "CannotSaveSyncProfileChanges".

400. Misc Access right. When searching the Outlook database for contacts to use, QuoteWerks can return the Business address, Home address, or both. Some users only use the business addresses in which case their search results are cluttered with double the results (business and home) with most of the home address data being empty. This option lets you tailor the results to your needs.

Note, the currency symbol, thousands separator and decimal point will be appropriately set for the region.

If you export a QuoteWerks product database and need to re-import it, with this new feature, you can now map the actual database field of PricingLevel01 to the PricingLevel01 field in the import file which will import all pieces of data into the database field.

424. On the Products|Setup Product Data Sources menu, you can select a QuoteWerks native Product Data Source, right click and choose the Export menu to export all the items in the data source into a tab delimited text file. Now, text or memo type field data that contain carriage returns, line feeds, or tabs will now be encapsulated in double-quote symbols following text file format standards.

425. On the Advanced step of the Products Import Wizard, there is now a button that can auto map all the fields using the field name displayed in the sample data. To use this feature, the first row of the import file must contain the field names for the columns of data.
